What to sort out first

  • Accounts and access. Who has access to email, files, and shared accounts, and how is access removed when a volunteer or staff member moves on?
  • Records. Where are membership, giving, and attendance records kept, who can export them, and is there a backup that someone has actually tested?
  • Wi-Fi. Separate guest access from staff and office systems, and check coverage in the places people actually gather.
  • Office computers and shared files. Keep staff machines updated and files in one place instead of scattered across personal devices.

Questions worth asking

  • Who owns the organization’s domain, email, and cloud accounts, and are those details written down somewhere other than one person’s memory?
  • Who can see donor and member data, and what happens to that access when someone leaves?
  • If a computer fails the week before a major event, who is called and how fast can work resume?
  • Which software vendors offer nonprofit pricing? Eligibility is confirmed with each vendor.
