Walk the shop, one workflow at a time.

Use this checklist to record what your team depends on during a normal working day. This is a planning worksheet, not a certification or a diagnostic test. Do not change equipment settings while collecting your notes.

For each item, record working / needs attention / unknown, the person who owns it, and the next question to answer. Copy these headings into your own notes or use your browser’s Print command.

1. Front counter

  • List the workstations used for estimates, repair orders, scheduling, and invoices.
  • Note which printers and scanners each workstation uses.
  • Record recurring delays in the workflow, including when and where they occur.
  • Identify who can contact the relevant software vendor; record the support contact, not account passwords.

2. Service bays and shared devices

  • List tablets, shared computers, label printers, and other network-connected devices.
  • Ask staff where connections drop or applications become difficult to use.
  • Note whether the issue follows a particular device, location, or time of day.
  • Record equipment and software vendor requirements that still need confirmation.

3. Phones, internet, and printing

  • Record the internet and phone providers and the business contact for each.
  • Describe how calls reach the front counter and where unanswered calls go.
  • List the documents that depend on each printer or scanner.
  • Identify who coordinates a problem involving more than one vendor.

4. Accounts and business records

  • Identify who approves new users and removes access when someone leaves.
  • List the systems that hold business records without copying the records themselves.
  • Record who owns the backup arrangements and where recovery instructions are kept.
  • Ask that owner when recovery was last checked and which records were included; do not assume every cloud application is covered.

5. Pick the next conversation

Choose the three issues with the greatest effect on your daily workflow. For each, write down the location, affected staff, frequency, and business impact. Mark unknowns as questions rather than guessing.
