Technology Project Checklist
Start with the work your team needs to do.
A useful project brief describes the business change before it lists equipment. Use these headings for an office move, a new bay, an additional location, or an equipment refresh. Unknown details can stay as open questions.
1. Goal and boundaries
- What is changing, and why?
- Which people, locations, and workflows are affected?
- What must still work during the change?
- What is outside this project?
2. Current environment
- List the devices, applications, internet connections, phones, and printers involved.
- Identify the business owner and vendor contact for each dependency.
- Note what will be reused, replaced, or investigated.
- Record where existing documentation can be found without including credentials.
3. Timing and dependencies
- Record the desired date and any fixed business events.
- List dependencies such as site access, internet installation, vendor availability, or equipment delivery.
- Identify who can confirm each dependency; requested dates are not confirmed dates.
- Ask what work must be completed before a change window can be agreed.
4. Decisions and acceptance
- Name the person who approves scope and the people who use the affected systems.
- Write down the workflows those users should check after the change.
- Identify who will record unresolved issues and decide whether the result is acceptable.
- Ask who will document the finished setup and explain any changed process to staff.
5. Prepare the first message
Share your goal, location count, affected workflows, desired timing, and the main unknowns. Keep private customer information, credentials, and detailed network diagrams out of the initial message.
