Compare answers, not just service names.

Use the same questions with each provider. Record their answer, where it is documented, and what still needs clarification. This worksheet is not an offer or a description of a particular WOLFTRAXX SYSTEMS plan.

1. What is actually included?

  • Which users, locations, devices, and applications are in scope?
  • Which work is handled as a separate project?
  • Who coordinates issues involving your internet, software, phones, or printers?
  • What information is needed to define the scope accurately?

2. How does a support request move forward?

  • Where should staff send requests, and how can they follow progress?
  • How are business impact and urgency assessed?
  • What support hours and response arrangements are documented?
  • Who owns communication when an issue involves another vendor?

3. Who owns the systems and the records?

  • Who owns business accounts, licenses, domains, and administrative access?
  • Where are device records and system documentation maintained?
  • Who approves access changes and keeps the authorized-contact list current?
  • Who is responsible for backups, recovery checks, and reviewing the results?

4. How will decisions stay visible?

  • What information will be reviewed together, and how often?
  • How are unresolved issues and upcoming equipment changes recorded?
  • Who approves proposed work before it starts?
  • How are responsibilities handed over if the relationship changes?

Bring a short business brief.

List your locations, approximate user and device counts, important applications, current pain points, and decision owners. Avoid sharing credentials or confidential records in an initial inquiry.
